Your tasks

  • Responsibility for the correspondence of the company and the management.
  • Coordination and harmonisation of management appointments including reminders, resubmissions, registrations and cancellations or similar and in human resources for performance reviews and job interviews.
  • First point of contact for customers, in particular for their procurement department, and for the tasks and concerns of tax consultants/payroll accounting, insurance companies, health insurance companies, Chamber of Industry and Commerce and the landlord.
  • Creation/recording and control of incoming and outgoing invoices, licence invoices, support invoices, receipts, credit notes, cash register or similar.
  • Management and control of expense estimates, quotations, orders and order confirmations.
  • Recording and checking employees' project, service and support work.
  • Recording and checking absences, holidays/sick days and sick notes of employees plus coordination with payroll accounting for corresponding applications according to the AAG.
  • Professional and proper documentation and filing in accordance with tax and legal requirements.

What characterises you professionally

  • You have completed vocational training as an office management assistant (m/f/d) or have comparable qualifications.
  • Ideally, you have already gained professional experience in similar companies and - for short-term tasks in the office - come from the immediate vicinity of Tübingen; applications from young professionals are also welcome.
  • You are familiar with the extensive use of Microsoft 365 and Microsoft Teams and ideally have knowledge of Zendesk, Harvest and LexOffice solutions.
  • You have very good German language skills at language level C1/C2 and are proficient in English at language level A1/A2.

  • You have a fundamental interest in information technology software solutions and their practical application.
